Summary of Meeting

Key Outcomes

The group made significant progress on the 100th anniversary celebration banner design, iterating through multiple versions live during the meeting. Preliminary venue research identified three options for a dinner event tentatively planned for early November 2027. Sponsorship, fundraising, and a year-long event calendar were identified as key strategic priorities requiring further development.

Decisions Made

  • Co-chairs confirmed: Jim and Abby will co-chair the anniversary planning committee; Stacy (Abby’s sister) volunteered as liaison to the troop.
  • Governance: All decisions (dates, designs, brochures, merchandise) must route through the troop committee for approval; monthly reporting planned.
  • Banner design: Version 1.5 selected as working baseline; green background replacing red to align with new trailer color scheme.
  • Banner updates finalized: Add old boot (left) and new Doc Martins-style boot (right) flanking the years “1927–2027”; scrolls to read “Be Prepared” and “Do a Good Turn Daily”; top text changed to “100 Years of Scouting”; “Scouting America” added below Munster Lions Club.
  • Dinner venue shortlist: Cloister in the Woods ($4,350–$4,650 food), Art Center ($5,700 buffet for 150), Carmelite Banquet Hall ($1,500 space + $3,750–$9,000 food); Art Center preferred for food variety.
  • Dinner date target: First or second Saturday of November 2027 (6th or 13th); Saturday preferred to accommodate out-of-town guests.
  • Drop cards: Small business-card-sized promotional cards with QR code linking to anniversary/troop website; ~$90 for 1,000 prints.

Pending Confirmation

  • Banner: Craig Thompson’s approval needed before printing deadline (Friday); color match to new trailer design pending.
  • Venue pricing: Art Center space rental cost not yet confirmed; callback needed.
  • Troop committee approval: Next committee meeting July 20 — banner may need to proceed before formal approval due to 4th of July parade deadline.
  • Photo release policy: Confirm whether Troop 533 has a photo release form before using current scout images on social media or promotional materials.
  • Facebook page wording: Needs to be worked out with the troop.

Open Questions

  • Whether to pursue a float for the 4th of July parade as part of the anniversary year.
  • Final selection of dinner venue; St. Thomas More (used for 75th anniversary) and Wicker Park noted as additional options.
  • Eagle Scout list is incomplete — missing records from 2020 to present (~6 years).

Action Items

  • Jim: Contact Craig Thompson to get banner approval; follow up with Don afterward.
  • Don: Finalize banner (center Troop 533, adjust boot sizing/placement, restore Munster/Indiana font size, clean up pixelation); send updated version to Craig.
  • Vincent (with adult help): Call venues for final pricing; present options to troop committee.
  • Jim/James Haas: Collect former member contact info (name, address, email, phone, years in troop) and channel through Don.
  • Don: Maintain master contact list (password-protected); manage sign-up form on website.
  • Jim: Reach out to Craig and Kurt to update Eagle Scout list (currently ends March 2020).
